POSITION DESCRIPTION:
The position is a vital part of the Document Administration (“DA") leadership team as they will lead the project management and process documentation efforts for the department.  Evaluate department’s current processes to identify areas of efficiencies and implement solutions.  Must effectively communicate and partner with other business units to represent DA on department or Company initiatives.   Develop and maintain policies, procedures and system requirements to meet business and State/Federal regulatory guidelines.  


ESSENTIAL DUTIES AND TASKS (up to five):  

1.Develop and maintain accurate and complete Process and Procedure manuals and workflow diagrams.  Ensure writing style of documentation is simple, clear, concise, and written for the intended audience and achieves compliance with legal requirements, regulatory mandates and performance standards.  Review current processes/tools and implement solutions to streamline.  Strives to maintain the progress, mutual interaction and tasks of various parties in such a way that reduces the risk of overall failure, maximizes benefits, and minimizes costs. 

2. Develop analysis and reporting in order to effectively communicate with senior leadership if processes are being followed and provide any reporting if applicable.  Gather information and make decisions that will benefit processes, system tools, procedures and further automation for the department.    Liaison with other departments to discuss projects or processes that impact DA. 

3.Work closely with Finance, I.T. and other departments to ensure SOX, PII and PCI compliance for all areas managed by DA. On an ongoing basis, independently review all current policies and procedures in order to determine if there is any need for updates to the process, reporting, or training.    

 

4.Responsible to lead meetings with others regarding processes, procedures, and projects that impact DA functions.  Conducts training or implementation of newly developed or revised processes to affected work group(s). Maintain manual source material in organized manner with revision control.

 5. Meet regularly with DA leadership to gain and maintain a thorough understanding of the business unit’s goals and operational procedures. Maintain industry knowledge to effectively establish policies and procedures. 

 

Job Requirements

  • Bachelor’s degree in industrial engineering or experience in workflow mapping, SOX compliance, and process improvements in a mortgage or title company operations required
  • Six Sigma experience a plus
  • Experienced in developing analysis and reporting to measure the success of any project or procedure
  •  
    Highly proficient in Microsoft Office products
