Job Description

POSITION DESCRIPTION:

 The Administrative Assistant II – Marketing Contact Center is responsible for providing support to the Vice President and Corporate Marketing Executive, Vice President of Off Site Marketing and Sales, Director – Contact Center, Business Manager, and the Marketing Contact Center Managers.

ESSENTIAL DUTIES AND TASKS:

  • Work with corporate administration to create records in TSW, Kronos, UltiPro, dialers, etc. for new hires as well as maintain records for existing employees. Handle the flow of all incoming paperwork related to new hires, transfers, terminations, performance reviews and evaluations. Privacy and security of confidential information is required.
  • Compile proper documentation and process payroll for agents, managers and support staff including but not limited to distributing paychecks to Contact Center team members as well as completing, tracking and submitting corrective actions to management on attendance and IHG agent performance MOAR’s.
  • Provide, update, maintain and distribute various weekly and monthly marketing reports including overtime and missed punch payroll reports, departmental roster and year-to-date statistics provided to Contact Center Managers/Consultants. Assist with tour allotments when necessary.
  • Process check requests, travel and entertainment, petty cash requests and spiff requests as well as maintain an appropriate level of supplies for all departments.
  • Direct incoming correspondence and mail to the proper source and maintain an upbeat, positive and motivated demeanor, especially when interacting with Holiday Inn Club Vacations guests, coworkers and managers.

 

Job Requirements



QUALIFICATIONS:

  • Minimum of one year of administrative experience
  • Proficiency with Microsoft Word, and Mainframe applications.
  • Ability to work in a fast paced, high volume environment.  


ESSENTIAL FUNCTIONS:

  • Proficiency in Excel is require
  • Must have a high degree of accuracy and attention to detail.
