POSITION DESCRIPTION:
This position will be responsible for providing administrative support to the HOA administration function of the legal services department. Employees in this job are responsible for the coordination and performance of detailed administrative responsibilities for multiple timeshare associations.


ESSENTIAL DUTIES AND TASKS:

  • Writing, development, review and maintenance of informational, error-free website content for multiple association websites ensuring consistent core messaging. Preparation of quarterly updates of association news for inclusion on websites requires ongoing communications with resort/corporate leadership in the solicitation of photos and resort information.
  • Telephonic attendance at all association Boards of Directors meetings.
  • Writing and development of content for all HOA communications to owners including, but not limited to e-blasts, Annual Owners' Meeting Notices, Budget Notices, newsletters and an annual magazine. Assist in the coordination of the printing and mailing of these communication pieces.
  • Assist in the preparation of association board meeting agendas and assist administrative staff in the review of draft association meeting minutes.
  • Point of contact for all owner questions regarding on-line proxy submissions, annual meeting/budget notices and association websites. Review, edit and test proxy websites.
  • Assist in the development and management of the association communications calendar and development of presentations and presentation templates. Create and maintain various data matrices.

 

 

 

Job Requirements

  • Minimum of five years of administrative experience, preferably with a timeshare or condominium management company.
  • Ability to multi-task and prioritize while working in a fast paced environment with strict deadlines.
  • Process oriented and must possess exceptional attention to details.
  • Self-directed and independent with projects while possessing the ability to work as a team player.
  • Excellent written and verbal communication skills.
  • Excellent customer service skills.
  • Proven computer skills (including Microsoft Word, Excel and PowerPoint) with ability to learn new programs. Knowledge of HTML helpful.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Valid Florida Driver's License. Must be maintained for the duration of employment.
  • Florida Notary Public certification helpful QUALIFICATIONS
  • High school graduate or other equivalent (e.g. GED, college, technical, or trade school transcript, foreign equivalency, etc.)
  • Higher education preferred
  • Must be at least 21 years of age with a valid driver’s license, a minimum of 4 years of driving experience
