POSITION DESCRIPTION: 

This position will provide leadership guidance for specific functional groups within the Facilities organization. The groups are Office Services and Building Operations, which provide multiple workplace services to sales, regional and corporate offices. This includes project management services for expansions, renovations, new offices, tenant improvements and relocations, as well as ongoing building services for preventative maintenance, emergency preparedness, moves, safety and security, mail and other related services. This includes developing and maintaining a 2, 5, 7 year renovation plan in partnership with the senior leadership team. Specific responsibilities include providing leadership direction that promotes a continuous process improvement mentality, establishes clear objectives for the team that is aligned to our workplace strategies, sets goals and measures performance. This position works directly with Architects, Engineers, Interior Designers, Landlords, Workplace strategists and various other contractors/vendors for all aspects of project management and building/systems operations. This position will review plan specifications and safety requirements and contract documents to ensure conformance with safety requirements, building codes along with policy and budget directives. Serves as a resource and collaborates with others to advance business priorities and establishes partnerships with customers and senior leadership. Has direct oversite of security, maintenance and custodial teams working at corporate sites. Creates and maintains the building committee (made up of leaders from the various tenant groups) to address concerns, review upcoming site events, review previous month’s metrics on safety, security, maintenance and custodial work. Assumes responsibility for first responders, routine crisis drills and preparations, maintains positive relationships with local police and fire departments, ensure appropriate training is delivered to site leaders and staff regarding active shooter, inclement weather, etc.

ESSENTIAL DUTIES AND TASKS:

  • Completes capital forecasting duties, develops and administers operational budgets and schedules for building expenditures. Budget typically range from $13M to $18M+. In addition to keeping senior management apprised of opportunities, issues and/or changes in local, county, state and federal codes that may affect budget.
  • Ensures compliance with legal regulations. Completes semi-annual ADA inspections and updates monthly reports as appropriate. Ensures that OSHA requirements are effectively implemented and responds to all OSHA complaints/inquiries. Completes annual fire safety and hurricane evacuation drills. Directly manages onsite custodial, maintenance, and security teams. Ensures first responder services in case of work related injury, reasonable suspicion drug testing, security incidents on the property. Directly manages the Crisis Response Teams, Building Committee, and other groups.
  • Oversees various Mail Center activities to include sorting, metering, folding, inserting, delivery pickups, time stamping, affixing postage to outgoing mail or packages and opening and routing incoming mail; Maintains all inventory control and mailroom logs and reporting information.

  • Effectively leads office services and operations teams, ensuring optimal performance. Make staffing decisions based on assessment of team member’ skills and workloads and identify and minimize obstacles that are impeding progress. Manages overall space allocation at corporate sites. Ensures appropriate parking, meeting, cafeteria and other space are entered into the building plan. Stays abreast of best practices regarding building amenities and directly oversees operational aspects of site gym, concierge, F&B vendor and other amenities. Ensures rooms and overall site is appropriate branded to maximize the employee, candidate and visitor experience. Liaises regularly with local police and fire departments to maintain positive relationships as well as leverage knowledge via onsite training, inspections, etc. Works proactively to be a known personality at the sites responsible for. Actively manages building protocols and rules to enhance the employee experience. Performs regular inspections of all corporate sites to ensure compliance with corporate building standards. Performs annual space review with site leaders to ensure adequate space is available and all available space is utilized in the most efficient manner.
  • Collaborate with workplace development staff and research team to innovate new ways of working into the culture of our various types of work sites. Direct the management and implementation of multiple large and complex projects; develop project plan. Supports Human Resources with employee and visitor related matters such as seating, meeting room booking, employee badging, visitor sign-in, review of security monitors/tapes, etc. Works closely with Accounting/Finance while preparing estimates for capital requests and tracking budget costs. Works with Procurement to provide specifications for projects and data for sourcing and contract negotiation.
  • Expert understanding of and ability to implement against the Project Life Cycle deliverables; project charter, business requirements, due diligence, estimating, design/planning, construction, occupancy, close out and ongoing maintenance of a location.

 

Job Requirements

  • Ten or more years of related experience, with at least five or more years of leadership experience.
  • Bachelors Degree in a related field
  • Additional related maintenance and facility management training preferred, such as Certified Facility Manager (IFMA designation) or Real Property Administrator or Facility Manager Associate (BOMA designation).
  • PMP (Project Management Professional) certification preferred.
